Enable external viewers for project planning

Hello,

I am willing to enable 3rd party users to be able to view my RTC project plans.

Is there an option to produce such a report?

I would like that the 3rd party user will have the option to see my plans.

What is the recommended option?

Hi Yaron,

I believe basically your 3rd party users will have to have read access to your project area. Please be aware that they would be able to browse everything, e.g. all work items.

You would add the users to your project. I don't think they need a license. They should be able to browse without one. Since they have no license they can't save anything.

If you want them to be able to create work items, you'd give them a Stakeholder licenses and adjust their role's permission.

If I do not want to enable them access to the RTC server, can I create a report /html file that will reflect my plan?

I am seeking for an "export" option that will allow me to send the information.

Hi Yaron,

I'd have to look. Which version are you running?

In 2.0 I haven't seen an export for plans. You probably could print to PDF, given you have a program that does it. In 3.0 at least for the traditional template you can export a plan to MS Project (you can not re-import without duplicating your work items!). Maybe the agile planning supports that too, I'd have to check.

Another option I know of, without having to look into the tools, would be to create a query that returns only the work items that are planned for the iteration(s) considered in your plan. That can be exported to a CSV file.

I am running RTC2, but you can relate to RTC3.

tried it. Aside the other options above in 3.x you can export a plan to MS Project XML format that you could share.
